Montonio payments invoice breakdown

Your Montonio invoice provides a comprehensive breakdown of your monthly activity. Your invoice file consists of invoice summary and invoice details.

Invoice overview

Each invoice consists of two main parts:

  • Invoice Summary — overview of your business (customer) and Montonio (supplier) details, payment link to settle the invoice, and a fee summary broken down by service.

  • Invoice Details — detailed usage breakdown including quantities, unit prices, and tax information for each transaction type.

Usage data

The Invoice details page lists usage information for each service on the invoice summary page. Each service is listed separately and consists of 5 columns:

Unit

Indicates either the amount of specific service transactions or the count.

Quantity

Shows either how many transactions were processed or total sum of the processed payments.

Unit price

Your price for that payment method based on your pricing plan.

Tax amount

Shows if tax is applicable or not.

Subtotal

Subtotal for each payment type under the payment method.

Example breakdown

Each line of the invoice summary has a detailed breakdown under invoice details.

Subscription fee

One subscription fee is applied per account. Since invoices for payment services and subscriptions are issued by our Lithuanian entity, VAT applicability may vary depending on whether you are a registered VAT payer or not.

If your company is based outside of Lithuania, reverse charge will be applied for VAT-registered payers. If not, Lithuanian VAT rate will be applied.

Bank payments

Bank payments / Payment initiation service (PIS) shows how many bank payments were processed in your store(s) along with the applied price. Transaction price depends on your selected Montonio Plan.

PIS is considered an intermediary service and is therefore subject to VAT.

VAT applicability depends on whether you are a registered VAT payer. If your company is based outside of Lithuania, reverse charge applies for VAT-registered payers. If not, the Lithuanian VAT rate will be applied.

Refundable bank payments

If you are using the Refundable bank payments service, which allows you to refund payments – this service is considered a VAT-exempt financial service, therefore no VAT is applied.

As with regular bank payments, it shows the total quantity of orders processed along with the price based on your chosen Montonio plan.

💡 VAT exemption: Refundable bank payments service is classified as a financial service under EU VAT Directive (2006/112/EC, Article 135) and is therefore VAT-exempt.

Card payments

Card payment price consists of a fixed + dynamic fee, therefore they are separated into count and amount rows based on card type.

  • Amount – shows the total amount for orders processed by a specific card type. In this example, only EU consumer cards were processed and the total amount.

  • Count – shows how many transactions were made. In this example, there were 2 card payments per month.

Card payment fees are deducted before payouts are made to your bank account. The deducted fees are displayed under Deductions and in the invoice summary in the Already deducted row.

💡 VAT exemption: According to the EU VAT Directive, services related to the handling of payment transactions, including the transfer of money, are exempt from VAT. This includes payment processing systems like Adyen (card payment processor), as it facilitates non-cash payments between parties.

Pay Later

If you are using the Pay Later payment method, your invoice will show the total amount processed along with the applied fee. It is important to note that:

  • If your store is based in Lithuania or Latvia, this fee will appear on our Lithuanian entity invoice.

  • If your store is based in Estonia, it will appear on our Estonian entity invoice.

Pay Later is exempt from VAT as it is considered a credit/financing service.

💡 VAT exemption: BNPL products are typically exempt from VAT because they are considered a credit or financing service, which is exempt under Article 135(1)(b) of the EU VAT Directive. This directive states "Member States shall exempt the following transactions: <...> the granting and the negotiation of credit and the management of credit by the person granting it".

BLIK

BLIK payment price also consists of a fixed + dynamic fee, therefore they are separated into count and amount rows based on card type.

  • Amount – shows the total amount for orders processed by BLIK.

  • Count – shows how many transactions were made.

BLIK fees are deducted before the payouts are made to your bank account and are displayed under Deductions and in the invoice summary in the Already deducted row.

Deductions

Currently, fees for two Montonio services are deducted before payouts are made: Card payments and BLIK. The remaining part of your invoice should be paid.

Under Deductions, each service will clearly indicate the amount already deducted — these do not need to be paid separately. The remaining balance should be settled via bank transfer or using the payment link attached to your invoice.

Taxes

Taxes are divided into tax applicable and exempt. Depending on the service used, some services are exempt from VAT. These include Card payments, Refundable bank payments, Pay Later and BLIK – their subtotals will appear in the exempt tax row.

Depending on your business country, subscription fees and bank payments will appear in the standard VAT row with the applicable VAT rate, or under the reverse charge mechanism.

Special line items

Subscription fee

For Baltic countries merchants, the subscription fee is applied each month, even if you have not processed any transactions.

For Polish merchants, there is currently no subscription fee — only transaction fees apply.

Already deducted

Fees for certain payment methods (BLIK and card payments) are deducted directly from your payouts. On your invoice, these appear as Already deducted – you do not need to pay them again. Only the remaining balance shown in the Amount due line is due.

Chargeback fee

If one of your customers raises a dispute for a card payment, a chargeback fee may appear on your invoice. On the invoice, this is listed as Card payment disputes. The fee is:

  • 20 EUR for Baltic merchants

  • 85 PLN for Polish merchants

Why is my payout slightly lower than my invoice total?

You may notice that the amount received in your bank account is slightly lower than your invoice total – sometimes by just a fraction of a cent. This is not an error. It is caused by how payouts are rounded and how fees are aggregated throughout the month.

How fees are calculated

Service fees are calculated with high decimal precision (up to 6 decimal places) and aggregated across all your transactions for the full month. The total is then rounded to 2 decimal places on the invoice. Fees are not rounded per individual transaction – this ensures accuracy at scale.

How payouts work

Payouts are rounded down to 2 decimal places at the time of each payout. Any remaining fractional amount stays on your balance and is included in the next payout.

How this looks in practice

  • Merchant processes a payment of €22.95.

  • The service fee is €0.433105, leaving €22.516895 in their balance.

  • The payout is also rounded down to €22.51 — the remaining €0.006895 stays on the balance and is paid out with the next payout.

These differences are not errors – they result from standard rounding conventions and how the billing system aggregates fees.

There are two ways to handle this in your accounting:

  1. Leave the €0.01 in receivables (from Montonio) – it will be settled in a future payout as the remaining balance carries over automatically.

  2. Write it off to a rounding differences account in your profit/loss statement.

Why did I receive two invoices this month from Montonio?

We issue separate invoices based on the services you use. Our Lithuanian entity invoices subscriptions and payment services, while our Estonian entity invoices parcels shipped via Montonio contracts.

Always ensure that you are transferring funds to the correct Montonio entity to avoid accruing debt. We strongly recommend using the payment links attached to all Montonio invoices.

Why do I receive invoices from multiple sources (Montonio and direct carriers) for shipments?

If you use both a direct contract with a specific carrier and a Montonio contract, you will receive invoices from both Montonio and your direct carrier.

There's a small difference between my invoice and my records – is that normal?

Yes – small differences of 1–2 cents are expected due to rounding. See Why small differences occur between your invoice and payouts section above for a full explanation.

My account was deactivated – why did I still receive an invoice?

If your account is deactivated during a billing period (for example, on March 15th) and you didn't process any transactions during this time, you will still receive a prorated subscription invoice at the beginning of the following month (in this case, April).

This invoice covers the period during which your account was active in our system from March 1st to March 15th. Please make sure to settle the invoice.
